For certifications with an expiration date, it is important to establish procedures to prevent missed renewals.
Expiration Status Criteria
- Expiring Soon…Within 90 days of the Expires At date. Displayed with an Orange badge in the Certifications list.
- Expired…The Expires At date has passed. Displayed with a red badge.
Learners can filter the Certifications list by "Expiring Soon" or "Expired."
Notification Timing
Notifications are delivered via push notification, the in-app notification list, and email.
- Expiring Soon…At 90, 60, 30, 14, 7, and 1 day(s) remaining, and on the expiration date itself.
- Expired…Starting 1 day after expiration, then every week on day 8, day 15, and so on. Notifications stop at day 92.
In addition, a badge will appear on the learner's app in any of the following cases:
- When there is a certification that has been sent back for revision.
- When there is a certification within 90 days of its Expires At date.
- When there is a certification whose Expires At date has passed.
Things to Decide in Advance
- Who is responsible for renewal…Whether to leave it to the individual or have a supervisor follow up.
- When to take action…Whether to act on the 90-day notification or wait until the 30-day notice.
- How to handle expired certifications…Whether to remove the individual from duties requiring that certification, or allow a grace period.
- Communicate the renewal request entry point…Learners can submit a renewal request via "Edit details" on the certification detail screen.
