How do I get skills and qualifications approved?

Approvers review skill and certification requests submitted by Members, and either approve or reject them. This article summarizes how the approval process works.

Overview

Approval operations are performed from the learner screen (Teachme MySkill app, web Browser, or Teachme Player app).
On the skill approval screen, you can review a member's learning progress; on the certification approval screen, you can check certificate images, acquisition dates, and more.

Specifications

Who can approve

Only Approvers and Operation Admins can approve requests.

Scope of Members you can view

You can view Members who belong to your Organization and its Descendant organizations (excluding yourself). If you are transferred to a different organization, the scope you can see will update accordingly.

How the approver is determined

The requester selects an approver from among Users who have approval authority, found by tracing up from their own Organization to higher-level organizations, and then submits the request.

The following settings are available under the Group's "Approval Settings."

  • Automatically select the approver…When turned on, an approver is automatically selected at the time of submission.
  • Limit approvers to one organization level above…When turned on, the approvers available for selection at the time of submission are limited to the requester's Organization and the one directly above it.

You cannot approve your own requests

Even if you have approval authority, you cannot approve a request that you yourself submitted.

Skill approval

  • The levels that require approval are configured per skill. By default, Lv.2 and above require approval.
  • Requests that do not meet the achievement conditions for that level cannot be approved. The conditions used as the basis for judgment are those in effect at the time the request was submitted.
  • For levels with a checklist configured, you approve while reviewing the Confirmation items. You cannot approve or pass until all items have been judged.
  • If you reject a request, that level is not earned, and the member remains in progress.
  • Even if a member's organization changes after submission, the request can still be approved or rejected. This is to prevent requests from remaining unprocessed.

How to notice a request

When a request requiring action arrives, you will be notified in the following 3 ways.

  • Push notification (also delivered to the in-app notification list and by email)
  • Badge on the app Icon
  • A red dot displayed on the "Members" tab in the app

The number of Pending Approvals is the combined total of skills and certifications.

To perform approval operations, go to the "Members" tab, open "Pending approvals" for the target member. For certifications, check the request details via "Proceed to approval" under "Pending approval certifications."

Approving via QR Code

When you are meeting with a member in person, you can also proceed with approval by scanning the certification QR Code displayed by the member.
Open "Scan QR" from the QR button to the right of "Members" on the Home screen to scan it.
You can scan it in both the Browser and the app.

On the member's side, the QR Code is displayed via "Show QR Code" on the detail screen of the skill that is pending approval. It is not displayed before a request is submitted, so please ask the member to submit their request first.

Include a Comment when rejecting

If there is an issue with the request, enter a Rejection reason and reject it. Since the reason will be notified to the learner, please write it in a way that clearly conveys what needs to be corrected.

Certification approval

There are three types of certification requests.

  • New acquisition…Upon approval, the certification becomes Acquired.
  • Renewal…A renewal request for a certification whose Expires At date is approaching. Even after approval, the status remains Acquired, and 30% of the EXP from the initial acquisition is granted.
  • Correction…A request to fix errors in the Content to register. Even after approval, the status remains Acquired.

If a request is withdrawn or rejected, it returns to the state before submission. A new acquisition returns to "In progress," and a renewal or correction returns to "Acquired" (with the number, acquisition date, and Expires At all retained as-is).

A rejected request can only be resubmitted as the same type.

Certificate images

Up to 5 images of the certificate can be attached per request. Approvers can view images for requests for which they are the assigned approver. Tapping an image allows you to enlarge and review it.

Downloading images can be performed by Operation Admins. Approvers can only view them.

Checking certification status at a glance

You can check who holds which certifications in the "Certifications" tab of the Skill Map on a computer. You can search by certification name or User name, and filter by status, organization, or Organization Group.

Certifications with an expiration date approaching

Certifications within 90 days of their Expires At date can be filtered as "Expiring soon," and those past their expiration date can be filtered as "Expired."
