How do I approve skills and qualifications?

Approvers review skill and qualification requests submitted by members, and either approve or reject them. This article provides an overview of the approval process.

Overview

Approval operations are performed in the Teachme Player app. In the skill approval screen, you can check a member's learning progress; in the qualification approval screen, you can check certificate images, acquisition dates, and more.

Roles that can approve

Only Approvers and Operation Admins can approve requests.

Range of members that can be viewed

You can view members who belong to your organization and its descendant organizations (excluding yourself). If you are transferred to a different organization, the visible range will update accordingly.

How the approver is determined

When submitting a request, the applicant selects an approver from among users with approval authority found by traversing from their own organization up to higher-level organizations.

The following settings are available under the Group's "Approval Settings."

  • Automatically select the approver… When enabled, an approver is automatically selected at the time of submission.
  • Limit approvers to one organization level above… When enabled, the approvers available for selection at the time of submission are limited to those in the applicant's organization and the one directly above it.

You cannot approve your own requests

Even if you have approval authority, you cannot approve a request that you yourself submitted.

Skill approvals

  • The levels requiring approval are configured per skill. By default, Lv.2 and above require approval.
  • Requests that do not meet the achievement conditions for that level cannot be approved. The conditions used as the basis for judgment are those in effect at the time the request was submitted.
  • For levels with a checklist configured, you approve while reviewing the confirmation items. You cannot approve or decline until all items have been judged.
  • If rejected, that level is not acquired, and the member remains in progress.
  • Even if a member's organization changes after submission, approval or rejection can still be performed. This prevents requests from being left unprocessed.

How to notice a request

When a request requiring action arrives, you will be notified in the following three ways.

  • Push notification (also delivered to the in-app notification list and by email)
  • A badge on the app's Icon
  • A red dot displayed on the "Members" tab in the app

The number of Pending Approvals is the combined count of skills and qualifications.

To perform an approval, go to the "Members" tab, open the target member's "Pending approvals," and proceed from there. For qualifications, check the request details via "Proceed to approve" under "Pending approval qualifications."

Approving via QR Code

When you are face-to-face with a member, you can also proceed with approval by scanning the approval QR Code that the member displays. Scan it using the "QR Scan" feature in the app.

On the member's side, the QR Code is accessed via "Show QR Code" on the detail screen of the skill under application. It is not displayed before submission, so please have the member submit the request first.

Include a Comment when rejecting

If there is an issue with the request, enter a rejection reason and reject it. Since the reason will be notified to the applicant, please write it in a way that clearly communicates what needs to be corrected.

Qualification approvals

There are three types of qualification requests.

  • New acquisition… Upon approval, the qualification becomes Acquired.
  • Renewal… A renewal request for a qualification whose Expires At is approaching. Even after approval, it remains Acquired, and 30% of the EXP from the initial acquisition is granted.
  • Correction… A request to fix an error in the Content to register. Even after approval, it remains Acquired.

If a request is withdrawn or rejected, it reverts to the state before submission. New acquisition returns to "In progress," and renewal/correction returns to "Acquired" (with the number, acquisition date, and Expires At unchanged).

A rejected request can only be resubmitted as the same type.

Certificate images

Up to 5 certificate images can be attached per request. Approvers can view images for requests for which they are the designated approver. Tapping an image enlarges it for closer inspection.

Downloading images can be performed by Operation Admins. Approvers have view-only access.

Checking qualification holdings at a glance

You can check who holds which qualifications on the "Qualifications" tab of the Skill Map on a computer. You can search by qualification name or User name, and filter by status, organization, or Organization Group.

Qualifications with an approaching expiration date

Qualifications within 90 days of their Expires At can be filtered as "Expiring soon," and those past the deadline as "Expired."
